Buyer Applications & Approval
How the B2B buyer application flow works — application form, review process, approval or rejection, and buyer account activation.
Sellrn's wholesale buyer flow requires B2B customers to apply and be approved before they can see wholesale prices or place orders. This prevents retail customers from accessing your trade pricing.
The buyer journey
- A potential buyer visits your storefront and clicks Apply for a trade account.
- They fill in the application form with their business details.
- You review the application in the Dashboard and approve or reject it.
- If approved, the buyer receives an email with login credentials.
- When logged in, their assigned price list applies at checkout automatically.
Customising the application form
Go to Dashboard → Wholesale → Application form. You can add, remove, and reorder fields. Default fields include:
- Business name
- Trading address
- Contact name and email
- Phone number
- Business type (retailer, distributor, etc.)
- VAT / tax registration number
- Estimated monthly order value
You can add custom fields (text, dropdown, checkbox) for any additional information you need from buyers.
Reviewing applications
New applications appear in Dashboard → Wholesale → Applications. Each application shows the buyer's submitted details and a status badge:
- Pending — not yet reviewed.
- Approved — buyer account is active.
- Rejected — buyer was declined.
You receive an email notification for each new application. You can also enable Slack or webhook notifications in Settings → Notifications.
Approving a buyer
- Open the application and review the details.
- Select a Price list to assign to this buyer.
- Optionally set a credit limit or payment terms (Net 30, Net 60).
- Click Approve.
The buyer receives a welcome email with a link to set their password and access their account. From that point on, logging in automatically applies their price list.
Rejecting a buyer
Click Reject and optionally add a reason. The buyer receives a polite rejection email. Rejected buyers can reapply after 30 days (configurable in Settings).
Auto-approval
If you do not need to manually vet buyers (e.g. you run an open trade portal), you can enable Auto-approve applications in Settings → Wholesale. All new applications are instantly approved and assigned to a default price list.
Managing existing buyers
See all active buyers in Dashboard → Wholesale → Buyers. From here you can change a buyer's price list, suspend their account, or reset their password.
