Order Management

How to view, fulfill, update, and refund orders in the Sellrn dashboard, and what each order status means.

Every purchase made on your Sellrn storefront creates an order. You manage all orders from Dashboard → Orders.

Order statuses

StatusWhat it means
PendingOrder created but payment not yet confirmed (e.g. bank transfer awaiting).
PaidPayment confirmed by Stripe. Ready to fulfill.
Partially fulfilledSome items shipped, others still pending.
FulfilledAll items marked as shipped. Tracking number recorded.
RefundedFull or partial refund issued.
CancelledOrder cancelled before fulfillment.

Viewing an order

Click any order in the list to open its detail page. You will see:

  • Customer name, email, and shipping address.
  • Items ordered with quantities, variants, and line-item prices.
  • Payment breakdown (subtotal, discount, shipping, tax, total).
  • Payment method and Stripe transaction ID.
  • Order timeline (created, paid, fulfilled, etc.).

Fulfilling an order

  1. Open the order and click Fulfill items.
  2. Select the items to fulfill (all by default).
  3. Enter a tracking number and select the carrier (optional but strongly recommended — customers receive a shipping confirmation email with the tracking link).
  4. Click Mark as fulfilled.

The customer receives an automated shipping confirmation email with the tracking number. The order status updates to Fulfilled.

Issuing a refund

  1. Open the order and click Refund.
  2. Select the items to refund, or enter a custom refund amount.
  3. Choose whether to restock the inventory (toggle on to add the returned quantity back to stock).
  4. Add an optional reason (internal only, not shown to the customer).
  5. Click Refund.

Refunds are processed via Stripe and appear in the customer's account within 5–10 business days depending on their bank.

Cancelling an order

Open the order and click Cancel order. You'll be asked whether to restock the order's inventory. Cancelling sends the customer a cancellation email. Refunding a payment is a separate step — cancelling does not move money on its own; use Refund on the order's payment, which emails the customer a refund confirmation.

Orders that have already been fulfilled cannot be cancelled — issue a refund instead and arrange a return with the customer directly.

Adding order notes

The Notes section in an order is for internal notes only (not visible to the customer). Use it to record special instructions, return tracking, or communication history.

Exporting orders

Click Export in the Orders list to download a CSV of all orders in the selected date range. The export includes all order fields — useful for accounting, fulfillment partners, or custom reporting.
